Calgary Folk Music Festival - Youth Summer Job

The Calgary Folk Music Festival is situated on Treaty 7 Territory, Moh’kinstis otherwise known as Calgary,, and the traditional Treaty 7 territory home of the Blackfoot confederacy: Siksika, Kainai, Piikani, as well as the Îyâxe Nakoda and Tsuut’ina nations. This territory is also home to the Métis Nation of Alberta, Region 3 within the historical Northwest Métis homeland.

The Folk Festival Society of Calgary seeks an enthusiastic, organized and customer-focused team player to join us for the Youth Summer Jobs program. The Society presents music from contemporary and traditional folk genres, including the summer Calgary Folk Music Festival, Block Heater, and a year-round concert series. We are a music-driven, not-for-profit, community-based organization. A cornerstone organization in Calgary’s arts sector, we are fuelled by 15 full-time staff and 1700+ volunteers. This contract position will require some flexibility in work hours prior to and during festival periods. This is an in-office position. This role is a seasonal, short term contract position Box Office and Administrative Assistant. This position is short term, seasonal contracts, running from May/June to August (dates to be mutually agreed upon).


BOX OFFICE AND ADMINISTRATIVE ASSISTANT

Reporting to the Executive Director and working closely with the Box Office Coordinator and Volunteer Services team the ideal candidate is an excellent team player with exceptional time management and customer service skills.


KEY ACTIVITIES AND RESPONSIBILITIES

Responsibilities of this role include, but are not limited to:

Provide direct assistance to the Box Office Associate

  • Answer phones, manage general inbox, direct mail, assist with other admin tasks, as required.
  • Assist with all aspects of ticket sales and customer service – in the office, pre-festival and at the gate.
  • Update the ticketing platform (Eventbrite) as necessary, including inventory management.
  • Assist at the Island Box Office during Festival weekend.
  • Sort and distribute all lost and found post-festival.
  • Assist in organizing the office post-festival.

Provide direct assistance to Volunteer Services

  • Assist with the administration of the volunteer recruitment processes.
  • Assist with management of the volunteer program social media channels.
  • Assist with the execution and delivery of volunteer orientation and training sessions.
  • Administer and distribute volunteer requisitions, signage and supplies.
  • Assist with volunteer package assembly.
  • Fulfill other administrative duties, such as archiving crew manuals and final reports, as well as preparing, printing and distributing festival contact sheets.
  • Updating the volunteer database.
  • Assist with guest badge distribution.

Timeline:

  • Start date ASAP – mid-August 12, 2024 (possible option to extend to end of August).
  • 40/hours a week for 12+ weeks
  • Pay: $17.00 per hour

EXPECTATIONS

  • Attend all staff meetings, and other meetings as required.
  • Assist with other aspects of Festival organization as delegated.

It is critical that you are able to work longer days in the two weeks leading up to and the weekend of the festival. You will be paid additionally for these hours. This year’s festival dates are July 25th - 28th, 2024 and the successful candidate is required to be available for the week leading up to, through all four days of the festival and the week after.

  • Some evening and weekend hours will be required.
  • Prepare and submit a final report prior to departure in August 2024 (exact date TBC)

Skills Required:

  • Initiative and ability to work independently and as part of a team.
  • Professional and customer-focused.
  • Attention to detail and systems, with ability to multitask.
  • Exceptional time management, verbal and written communication skills.
  • Mac-based computer skills preferred, especially with Google suite (docs, sheets, slides) Microsoft Excel and Word.
  • Experience with the Evebrite ticketing system is considered an asset.

  • be a Canadian citizen, a permanent resident of Canada, or a person who has been granted refugee status in Canada.
