Festival Hall Event Supervisor
The Calgary Folk Music Festival is situated on Treaty 7 Territory, Moh’kinstis otherwise known as Calgary,, and the traditional Treaty 7 territory home of the Blackfoot confederacy: Siksika, Kainai, Piikani, as well as the Îyâxe Nakoda and Tsuut’ina nations. This territory is also home to the Métis Nation of Alberta, Region 3 within the historical Northwest Métis homeland.
The Folk Festival Society of Calgary seeks an enthusiastic, organized and customer-focused team player to join us as a permanent part time member of our Festival Hall team.
Position Summary:
This is an hourly position with an average of 25 hours per week @ $25/hr. Reporting to the Festival Hall Rentals Manager, the Event Supervisor is responsible for overseeing the safe and successful operation of pre-contracted events within our venue while ensuring the facility is used in accordance with venue policies and rental agreements. This role serves as the venue representative during events, supporting renters as needed, monitoring the facility, and coordinating smooth transitions between events.
In addition to event supervision, the Event Supervisor provides basic technical support, including audiovisual operation, stage setup, lighting, and room resets. The ideal candidate is organized, calm under pressure, technically proficient, and committed to providing excellent customer service while maintaining a safe and professional environment.
Key Responsibilities:
- Event Supervision
- Serve as the on-site venue representative during events.
- Welcome renters, vendors, and performers and provide access to the facility.
- Ensure renters are following venue policies, safety procedures, and the terms of their rental agreement.
- Monitor event activities and respond to questions or issues as they arise.
- Coordinate with renters, bar staff, and other venue personnel as required.
- Respond professionally to emergencies and unforeseen situations.
- Complete event and bar reports and communicate any incidents, damages, or maintenance concerns.
- Venue Operations
- Open and secure the facility before and after events.
- Conduct pre- and post-event inspections of the venue.
- Ensure all event spaces remain clean, safe, and ready for use.
- Assist with room setups and resets, including tables, chairs, staging, and other venue equipment.
- Manage transitions between multiple events to ensure spaces are reset efficiently and on schedule.
- Monitor venue inventory and report equipment or facility maintenance needs.
- Technical & Production Support
- Set up and operate basic audiovisual equipment, including microphones, projectors, presentation systems, and sound equipment.
- Assist with stage setup, staging configurations, and event changeovers.
- Operate or program basic lighting systems for meetings, performances, and special events.
- Troubleshoot minor AV or lighting issues during events.
- Coordinate with external production companies or technicians when larger technical setups are required.
- Ensure technical equipment is handled safely and properly stored after use.
- Customer Service
- Provide friendly, professional service to clients, performers, vendors, and guests.
- Communicate clearly with renters before and during events regarding venue procedures.
- Resolve concerns professionally while maintaining venue standards and policies.
- Foster a welcoming atmosphere while representing the organization positively.
Qualifications
- Experience supervising events in a venue, theatre, performance space, conference centre, or similar environment.
- Experience with basic audiovisual systems, stage setup, and lighting operation.
- Strong organizational and time-management skills.
- Ability to prioritize tasks and adapt to changing event needs.
- Excellent communication and customer service skills.
- Comfortable working independently and making sound decisions.
- Ability to lift and move event equipment (up to 50 lbs) and perform physical setup duties.
- Availability to work evenings, weekends, and holidays as required.
- Standard First Aid/CPR certification is considered an asset.
- Experience working in live events or hospitality is considered an asset.

Working Conditions
Permanent part time position with variable hours based on the event schedule.
Primarily evenings, weekends, and occasional holidays.
Work is performed indoors with frequent standing, walking, lifting, and moving equipment.
Fast-paced environment requiring flexibility and the ability to manage multiple priorities.
