About the Role
The Calgary Folk Music Festival is restructuring its Volunteer Services department into a co-managed model and we're looking for one of two Co-Managers to lead it. Working in close partnership with your experienced co-manager, you'll share responsibility for the Folk Festival Society of Calgary’s volunteer program. The department leads the management of volunteers from recruitment and training to day-of event support and recognition for all of our programs including Calgary Folk Music Festival, Block Heater and Festival Hall concerts and events year-round. Our volunteer corps of 1700+ folkies is passionate, knowledgeable, hardworking and connected to each other and the organization. It is that connection that leads to our 73% retention rate. The Volunteer Services department is the keystone to the volunteer experience and supporting operations to deliver exceptional musical experiences.
This is a hands-on leadership role for someone with a positive attitude who has strong administrative skills and loves building relationships as much as developing and refining systems. The ideal candidate will be energized by both the strategic and the day-to-day sides of running a volunteer program. We hope to have the successful candidate starting the role in late October 2026.
Key Responsibilities:
Program Leadership & Strategy
- Co-develop and implement volunteer program strategy, policies, and timelines aligned with organizational and event needs
- Track program metrics to evaluate impact and effectiveness
- Design volunteer roles to support operations as needed
- Monitor program budget and ensure compliance in coordination with the Finance Director
- Working alongside high level volunteers to manage timelines and hit program targets
- Support organizational staff in working with Volunteer Managers and Crew Coordinators
- Participate in the hiring and oversight of seasonal summer student for CFMF
Recruitment, Onboarding & Training
- Co-lead recruitment strategy and be a first point of contact for the volunteer community and interested public
- Oversee screening, interviews (when required), orientation, and training for individuals and volunteer crews
- Ensure certifications (e.g. Police Checks, ProServe, Class 4) are complete and up to date
Volunteer Engagement
- Recognize volunteer contributions year round and for all programs
- Resolve or facilitate the resolution of volunteer-related concerns professionally and with a caring approach
Administrative
- Match volunteers to roles based on skills and interests, with a focus on filling leadership positions
- Co-manage volunteer communications, including emails, e-newsletters and volunteer social media accounts
- Ensure critical timelines are being met in the volunteer calendar
- Co-manage FFSC volunteer software (custom built Quickbase), annual portal updates and general volunteer records
- Prepare wrap up docs for each program including survey and final report
Event Support
- Participate in the planning, setup, execution, and strike of CFMF (July), Block Heater (February), Festival Hall (seasonal) and year-round events
- Lead post-event debriefs and carry forward action items for continuous improvement
What You Bring
- Experience in volunteer coordination, human resources, and/or people-centred program management
- Exceptional communication, interpersonal, and organizational skills, with sharp attention to detail
- Confidence in leading and supporting volunteer crews, with and calm and rational approach
- A positive and “can-do” approach to problem solving on a micro and macro scale
- Familiarity with festival and event work considered an asset
- Experience as a current or recent volunteer with FFSC festivals and events will prioritize your application
- Proficiency with Google Suite, Zoom, and Airtable; familiarity with Quickbase is considered an asset
- Ability to work some evenings, weekends, and holidays around our event schedules
- Comfort with physical event work (lifting, loading, setup/strike), ability to lift 25 lbs repeatedly and working outdoors in all weather for CFMF and Block Heater
